This Privacy Policy explains how DeclarePay ("DeclarePay," "we," "us," or "our") collects, uses, shares, and protects personal information when you visit our website at declarepay.cc (the "Site"), submit a form, or otherwise interact with us online. It does not cover our merchant processing services, which are governed by separate merchant agreements.
By using the Site, you agree to the collection and use of information described here.
2. Information we collect
Information you provide directly:
- Contact form: name, email address, phone number, business name, and the contents of your message.
- Careers form: name, email, phone number, location, role of interest, LinkedIn or portfolio URL, and any cover-letter material you submit.
- Email correspondence: any information you choose to include when you email us.
Information collected automatically:
- Network and device information including IP address, browser type, operating system, referring URL, and pages viewed, collected by our hosting provider for security, analytics, and operational purposes.
- A secure session cookie set when an authorized administrator signs in to our internal back office.
We do not collect payment card numbers, bank account details, social security numbers, or merchant processing data through this Site.
3. How we use your information
- To respond to inquiries and provide the information you request.
- To evaluate job applications submitted through our careers form.
- To prepare custom quotes for prospective merchants who contact us.
- To operate, maintain, secure, and improve the Site.

We do not sell or rent your personal information. We share information only in the following circumstances:
- Service providers: we use third-party vendors to operate the Site. These currently include Vercel, Inc. (hosting and infrastructure), Resend, Inc. (email delivery for form submissions), and Vercel Blob (storage for media assets shown on the Site). These providers process information only on our instructions and are bound by confidentiality and security obligations.
- Legal requirements: we may disclose information when required by law, subpoena, court order, or other legal process, or to protect our legal rights, property, or safety, or that of others.
- Business transfers: if DeclarePay is involved in a merger, acquisition, financing, reorganization, or sale of assets, your information may be transferred as part of that transaction, subject to standard confidentiality protections.
- With your consent: any other sharing will only occur with your prior consent.
5. Cookies and tracking
The Site uses minimal cookies. Specifically, we set a secure, HTTP-only cookie when an authorized administrator signs in to our internal back office at /admin. We do not place third-party advertising cookies or behavioral tracking cookies on this Site.
We honor browser-level "Do Not Track" signals to the extent technically practicable by not loading non-essential trackers. Most browsers also let you block or delete cookies from a single site or all sites; consult your browser's help documentation for instructions.
6. Data retention
We keep personal information only as long as we need it for the purposes set out above:
- Contact form submissions: typically retained for up to 24 months to follow up on customer inquiries and provide ongoing support.
- Career applications: typically retained for up to 24 months after the application date so we can consider you for future roles.
- Server access logs: retained by our hosting provider for the period defined in their security policies (typically 30–90 days).
- Administrative session cookies: expire after 7 days of inactivity.
You may request earlier deletion of your information at any time using the contact details in Section 11.
7. Your rights
Depending on where you live, you may have the right to:

We use reasonable administrative, technical, and physical safeguards to protect personal information, including TLS encryption in transit and access controls for our internal systems. No system is perfectly secure, however, and we cannot guarantee the security of information you transmit to us. You are responsible for keeping your login credentials confidential.
10. Children's privacy
The Site is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child under 16 has provided personal information to us, contact us at info@declarepay.cc and we will delete it promptly.
11. International transfers
DeclarePay is based in the United States. Some of our service providers operate infrastructure in multiple countries, which means your information may be processed in jurisdictions outside your country of residence, including the United States. Where required, we rely on appropriate transfer mechanisms (such as standard contractual clauses) to protect your information.
